Privacy and cookies

Last updated: 20 October 2026

Plain English version: we only collect what we need to send you the email and list events, we never sell it, and you can get rid of it any time.

Who we are

Howay Out! (newcastleupontyne.org.uk) is run by Paul Clarke in Newcastle upon Tyne. Paul is the data controller, which means he's responsible for your data under UK GDPR. Any questions, or to use any of your rights, email alreet@newcastleupontyne.org.uk.

What we collect, why, and our lawful basis

  • The weekly email: your email address, so we can send you Howay Out! every week. We only add you if you tick the box to say yes, so our lawful basis is your consent. beehiiv may also tell us whether an email was opened or a link was clicked, so we know which picks folk like.
  • Event submissions: the event name, your name or organisation, your email, the venue, area, date, start time, price, vibe, whether it's free or indoors, the event link and your description. We use them to review your event, list it if it makes the cut, and contact you about it. Our lawful basis is your consent, given with the tick box on the form. The form opens your own email app, so your details come to us as an email.
  • Emails you send us: your email address and whatever you write, so we can reply. Our lawful basis is legitimate interests (answering people who get in touch).
  • Analytics: only if you click "Accept analytics", Google Analytics 4 measures page views and clicks, such as signups and event link clicks. Our lawful basis is your consent. If you say no, Google Analytics isn't loaded at all.

We don't sell your data, we don't use it for ads and we don't share it with anyone except the service providers below.

Changing your mind

You can withdraw your consent any time, and it's as easy as giving it:

  • The weekly email: click the unsubscribe link at the bottom of any email, or email us.
  • Analytics: click "Cookie settings" at the bottom of any page and choose "No thanks".
  • Event submissions: email us and we'll take your details out of our records and the listing down.

Withdrawing consent doesn't affect anything we did before you changed your mind.

Cookies

We don't set any analytics cookies unless you click "Accept analytics". Saying no is just as easy, and the site works the same either way. We use Google's Consent Mode, so nothing is measured until you say yes. We store your choice in your browser's local storage (key hwo_consent_v1) so we don't keep asking. You can change your mind any time with the "Cookie settings" link in the footer.

  • _ga, _ga_<ID>: Google Analytics, set only after you accept, lasting up to 2 years. They're deleted from your browser if you switch analytics off.

Our fonts are hosted on our own site, so loading a page doesn't send your IP address to Google Fonts.

Who helps us (our processors)

These companies handle data for us, only on our instructions:

  • beehiiv: holds the mailing list and sends the weekly email. When you sign up you finish off on our beehiiv page.
  • Google: Google Analytics 4 (only after consent). Emails sent to alreet@ are also delivered to a Google Gmail inbox.
  • Postmark: sends emails from our newcastleupontyne.org.uk address, such as replies to you.
  • Cloudflare: hosts this website, runs our domain and forwards emails sent to alreet@ to our inbox. Like any web host it handles your IP address to serve and protect the site.

Data sent outside the UK

Some of these providers are based in, or store data in, the United States and other countries. Where your data leaves the UK, we rely on the safeguards UK law allows, such as the UK-US data bridge where a provider is certified, or standard contractual clauses (the UK's International Data Transfer Agreement or Addendum) in the provider's data protection terms.

How long we keep it

  • The weekly email: until you unsubscribe. After that we may keep just your email address on a "do not email" list, so you're never added again by mistake.
  • Event submissions and emails to us: up to 12 months after the event or our last reply, then deleted.
  • Google Analytics data: no longer than 14 months.

Your rights

Under UK GDPR you can ask to see the data we hold about you, correct it, delete it, limit or object to how we use it, or get a copy to take elsewhere. Just email alreet@newcastleupontyne.org.uk and we'll reply within a month. Every email we send has a one-click unsubscribe link.

If you're not happy with how we've handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Changes

If we change this notice we'll update the date at the top. If it's a big change, we'll tell subscribers in the email.
